What is the Recurring Subscription Invoice?

The Recurring Subscription Invoice is a combined invoice and service agreement template designed for real estate photographers, Matterport and iGUIDE 3D tour creators, drone operators, and other proptech professionals who bill clients on a retainer basis. It formalizes weekly, bi-weekly, or monthly billing cycles, defines the scope of retained services per cycle, and establishes rules for overages, proration, unused-shoot rollover, cancellation, and intellectual property licensing in a single printable document.

When should you use this form?

Use the Recurring Subscription Invoice when a real estate brokerage, property management company, or developer has agreed to a standing retainer for ongoing photography or 3D tour services rather than booking shoots individually. It is appropriate when billing repeats on a fixed cycle, when automatic payment authorization is needed, or when the client relationship requires written terms for rollovers, overages, and cancellation windows.

What's included in this template?

  • Parties and effective date identifying Service Provider and Client
  • Scope of retained services: photography, 3D tours, drone, floor plans, virtual staging
  • Billing cycle selection: weekly, bi-weekly, or monthly with automatic invoice generation
  • Overage and add-on services pricing outside the base retainer
  • Mid-cycle proration calculation for new clients joining partway through a period
  • Unused-shoot roll-forward policy with defined carry-over cap and expiration rules
  • Cancellation terms with notice requirements and final-cycle charge provisions
  • Intellectual property and licensing clause limiting use to property marketing

What this form covers

Parties and Effective Date

This Recurring Subscription Invoice and Service Agreement is entered into between your photography or proptech business ("Service Provider") and your real estate client ("Client"). It establishes a formal retainer relationship—replacing informal per-shoot arrangements with predictable, auto-billed cycles.

Scope of Retained Services

The agreement clearly defines what's included in each billing cycle: the type of services (still photography, Matterport / iGUIDE 3D tours, drone capture, floor plans, virtual staging), the number of shoots covered, and the delivery turnaround window. Both parties know exactly what they're getting—and when.

Billing Cycle and Automatic Payment

  • Choose **weekly, bi-weekly, or monthly** billing to match your workflow - Base retainer fee is locked in at the start of the subscription - Invoices generate automatically at the top of each cycle - Client authorizes on-file payment; a configurable late fee applies to overdue balances

Mid-Cycle Proration

New clients joining mid-cycle are charged only for the days remaining in that period—no awkward over- or under-billing. Downgrades take effect at the start of the next full cycle, keeping accounting clean.

Unused-Shoot Roll-Forward Policy

Unused shoots don't simply vanish—but they don't accumulate forever either. Clients may carry over unused shoots to the **immediately following cycle only**, up to a defined cap. Shoots beyond the cap, or not used in the roll-forward cycle, expire without credit. This protects your schedule while giving clients flexibility.

Cancellation Terms

Either party may cancel with written notice before the next billing date. Late cancellations trigger a full final-cycle charge. Outstanding balances become immediately due, and completed work is released upon receipt of payment—keeping the wind-down fair for both sides.

Intellectual Property and Licensing

Delivered media is licensed for property marketing use only. Raw files and 3D scan data remain the Service Provider's property. Sublicensing or transfer to third parties requires written consent—protecting your portfolio and pricing integrity.
