What is the Cancellation Policy?

The Cancellation Policy is a standalone contract template for real estate photographers, 3D tour creators, and reality-capture professionals that governs how and when a client or photographer may cancel or reschedule a shoot. It establishes a four-tier fee schedule tied to advance notice windows, defines rescheduling limits, addresses non-cancellable services, and covers weather postponements and force-majeure events. The template also includes invoicing, interest accrual on overdue balances, and attorney's-fee recovery language.

When should you use this form?

Use the Cancellation Policy before any real estate photography, Matterport 3D tour, drone, or reality-capture booking where last-minute cancellations could leave unbillable time on the calendar. It is particularly important when sub-contractors such as drone pilots or floor-plan technicians are being dispatched, when shooting exterior or weather-dependent scenes, or when a client has a history of rescheduling. It can be issued as a standalone document or attached to an existing service agreement.

What's included in this template?

  • Acceptance and scope clause defining which bookings the policy covers
  • Four-tier cancellation fee schedule (0%, 25%, 50%, 100%) tied to notice window
  • Rescheduling rules with 72-hour free window and 25% late-reschedule fee
  • Cap on maximum rescheduling attempts per booking
  • Non-cancellable once commenced clause covering on-site arrival and sub-contractor dispatch
  • Weather postponement rights with photographer sole-judgment language and force-majeure exception
  • Cancellation by photographer provisions and client remedies
  • Fees, payment terms, monthly interest accrual, and attorney's-fee recovery language

What this form covers

Cancellation Notice Windows and Fees

This policy uses a four-tier fee schedule tied directly to how much advance notice the client provides:

  • **72 hours or more** — Cancel penalty-free; deposit refunded in full (less any non-refundable third-party costs already incurred). - **48 – 71 hours** — A fee equal to **25%** of the total quoted session fee is charged. - **24 – 47 hours** — A fee equal to **50%** of the session fee applies; any deposit is applied toward the balance. - **Less than 24 hours / same-day** — The **full session fee (100%)** is due with no deposit refund.

---

Rescheduling Rules

Clients can reschedule at **no charge** if written notice arrives at least 72 hours before the shoot. Rescheduled sessions must be completed within the agreed rescheduling window and are capped at a maximum number of rescheduling attempts per booking — protecting your calendar from repeat delays.

Rescheduling requests that arrive between 24 and 71 hours before the shoot trigger a **25% rescheduling fee**, keeping a financial disincentive in place without the full cancellation penalty.

---

Non-Cancellable Once Started

The moment you arrive on-site, the session is deemed "commenced." No refund or fee credit applies after that point, and any retainer collected is **non-refundable**. Sub-contractor costs (drone pilots, floor-plan technicians) are likewise non-refundable once the sub-contractor has been dispatched.

---

Weather & Force Majeure

Photographer retains sole professional judgment on weather-driven postponements — keeping your drone operations and exterior shoots safe without penalty. Client-initiated weather cancellations still follow the standard notice tiers. True force-majeure events (disasters, government shutdowns, infrastructure failures) allow either party to reschedule at **no cost**.

---

Fees, Payment, and Collections

Cancellation fees are invoiced immediately and accrue monthly interest on overdue balances. The policy also includes attorney's-fee recovery language, giving you real leverage if collections become necessary.
