Credit Memo

A professional credit memo template for real estate photographers and proptech providers to document partial refunds, invoice corrections, or goodwill adjustments with a clear audit trail.

Last updated Jul 7, 2026

What is the Credit Memo?

The Credit Memo is a professional billing-adjustment document used by real estate photographers, 3D tour creators, and proptech providers to formally record partial refunds, full refunds, invoice corrections, or goodwill adjustments. It ties every credit directly to an original invoice by number, date, and property address, recalculates the revised balance due, specifies the refund method and processing timeline, and closes with a governing-law clause and acknowledgment — creating a clean audit trail for both parties' accounting records.

When should you use this form?

The Credit Memo is appropriate whenever an issued invoice requires a downward adjustment: a Matterport scan was delivered below agreed quality, a drone shoot was cancelled due to weather after billing, a duplicate charge was sent to a real estate agent or brokerage, a negotiated goodwill discount was promised after the fact, or a service line item was invoiced but never performed. It is also used when a client has overpaid and the overage needs to be formally documented before a refund is issued.

What's included in this template?

  • Issuing party details: legal name, trade name, address, and email
  • Original invoice reference with invoice number, date, and property address
  • Credit details section covering adjustment reason and credit type selection
  • Five credit-type options: Partial Refund, Full Refund, Invoice Correction, Goodwill Adjustment, Service Credit
  • Updated balance calculation showing original amount, credit applied, and revised balance due
  • Overpayment handling clause for zero or negative balances
  • Method of credit or refund with processing-window commitment in business days
  • Governing law clause and acknowledgment confirming both parties accept the adjustment

How do I fill out this form?

  1. Open the form at forms.wgan.info. Navigate to the Credit Memo template in the WGAN Forms Library at forms.wgan.info and click the form to open the online editor in your browser.
  2. Enter issuing party and client details. Fill in your legal name, trade name, mailing address, and email, then enter the client's corresponding contact information in the Client Information section.
  3. Reference the original invoice. Input the original invoice number, invoice date, and the property address associated with that transaction so the credit is unambiguously linked to a specific job.
  4. Complete the credit details and updated balance. Select the credit type (e.g., Partial Refund or Goodwill Adjustment), describe the adjustment reason, enter the credit amount, and confirm the automatically calculated revised balance due.
  5. Choose the refund method and timeline. Select how the credit will be delivered — future invoice, ACH transfer, check, or payment platform — and specify the number of business days for processing.
  6. Download and distribute the completed memo. Review all fields, then download the finished Credit Memo as a PDF to send to your client and retain a copy for your own accounting and tax records.

What this form covers

Issuing Party

This Credit Memo is issued by your business — including your legal name, trade name, address, and email — creating a clear, professional paper trail that both you and your client can file for accounting and tax purposes.

---

Original Invoice Reference

The memo ties directly back to the **original invoice** by number, date, and property address, so there's never any ambiguity about which transaction is being adjusted. The original invoiced amount is restated in full, and the credit applies only to the specific line item described — all other obligations from the original invoice remain intact.

---

Credit Details

  • **Adjustment reason** — describe the exact cause: duplicate charge, service not delivered, resolution goodwill discount, Matterport scan quality issue, drone cancellation, or any other circumstance. - **Credit type** — choose from Partial Refund, Full Refund, Invoice Correction, Goodwill Adjustment, or Service Credit. - **Credit amount** — the precise dollar value being returned or applied.

---

Updated Balance

The revised balance section does the arithmetic for you, displaying:

  • Original Invoice Amount - Credit Applied - **Revised Balance Due**

If the balance reaches $0.00 or goes negative, the form explicitly states that no further payment is owed and outlines how any overpayment will be handled.

---

Method of Credit or Refund

Select how the credit reaches your client — applied to a future invoice, cash refund, mailed check, ACH transfer, or a platform like Venmo or PayPal. You also commit to a processing window (in business days), giving your client a firm expectation and protecting you from follow-up disputes.

---

Governing Law & Acknowledgment

A lightweight governing-state clause and acknowledgment section close the memo, confirming that both parties accept the adjustment as binding — no signatures required, just good-faith reliance on the document's terms.
