Use the Hotel Hospitality Media Agreement before any paid shoot at a hotel, resort, inn, or branded hospitality property. You specify which deliverable types apply: still photography, Matterport 3D tour, iGUIDE virtual tour, aerial/drone footage, or video walk-through.

Usage Rights and Platform Licensing

One of the most critical sections for hospitality clients, the agreement breaks usage rights down by platform:

  • **OTAs (Booking.com, Expedia, Hotels.com, Airbnb for Business):** Still photography licensed for OTA profile pages; 3D tours and video where the platform supports them. - **Hotel Website and Direct Booking:** All asset types — photography, 3D/virtual tours, aerial imagery, and video — licensed for the hotel's official website, app, and booking engine without restriction. - **Corporate and Group Sales:** Still photography and video licensed for sales presentations, RFP responses, printed collateral, and trade show use. - **Social Media and Paid Digital Ads:** Still photography and short-form video clips (up to 60 seconds) on the hotel's owned channels and paid campaigns, with credit to the photographer in organic posts. - **Third-Party Sub-licensing:** Explicitly prohibited without written consent and additional licensing fee — protecting photographers from unauthorized franchise or ownership-group distribution.

Staff and Personnel Appearance Rules

The agreement requires Client to collect a Staff Appearance Release for any identifiably captured team member, limits staff appearances to on-brand uniforms, and prohibits use of staff likenesses as endorsements. Incidental guest captures must be blurred or cropped in final deliverables unless the hotel secures explicit written guest consent — a key risk-management provision for hotel shoots.

Cancellation and Rescheduling

If the hotel cancels with fewer than the agreed notice period of business days, the deposit is forfeited. If Photographer has already mobilized, a 50% kill fee on the remaining balance applies — plus any out-of-pocket travel expenses already incurred.
