Real Estate Agent Prep Checklist

Real Estate Agent Prep Checklist — WGAN 2026 form template.

Last updated Jul 7, 2026

Disclaimer: This template is for informational purposes only and is not legal advice. Have a qualified attorney review it before use.

What is the Real Estate Agent Prep Checklist?

The Real Estate Agent Prep Checklist is a 2026 WGAN master template designed for listing agents coordinating a residential photo or 3D-tour shoot. It organizes pre-shoot, shoot-day, and post-shoot tasks into timed checklists spanning T-48 hours through MLS delivery. The template is formatted for U.S. general use and is intended to be paired with a companion Homeowner Prep Checklist (STG-001) to align sellers, agents, and photographers before capture day.

When should you use this form?

Use the Real Estate Agent Prep Checklist any time a listing agent is coordinating a professional photo shoot, Matterport 3D tour, or drone capture for a residential listing. It is especially useful when multiple parties — sellers, stagers, inspectors, or contractors — must be scheduled around a single shoot window, or when the property is in an HOA community with drone or commercial-photography restrictions.

What's included in this template?

  • Pre-Shoot (T-48 hours) task list for agent-seller and agent-photographer coordination
  • T-24 hours confirmation checklist covering weather, access codes, and document delivery
  • Shoot Day walk-through prompts including hero shots, exclusions, and sensitive items
  • Post-Shoot delivery and review tasks tied to MLS upload timelines
  • MLS and NAR Compliance Reminders for photo usage and disclosure requirements
  • HOA and community rules verification step for drone and commercial photography
  • Cross-references to companion WGAN forms (STG-001, REC-001/002/003, REL-001/002/003)

How do I fill out this form?

  1. Open the form at forms.wgan.info. Navigate to forms.wgan.info and locate the Real Estate Agent Prep Checklist under the Real Estate Agent Prep Checklist category in the WGAN Forms Library.
  2. Enter listing and shoot details. Fill in the property address, scheduled capture date and time, access method (lockbox, key, code, or on-site meet), and the listing agent's contact information.
  3. Confirm companion form references. Note the companion form numbers (STG-001, REC-001/002/003, REL-001 through REL-003) so those documents can be attached or cross-referenced in the checklist fields provided.
  4. Review and complete all checklist sections. Work through the Pre-Shoot, T-24 hours, Shoot Day, Post-Shoot, and MLS Compliance sections, checking off or customizing each task to match the specific property and shoot scope.
  5. Download the completed checklist. Click the download button to save the filled-out checklist as a PDF from forms.wgan.info for distribution to the listing agent, seller, or photographer.
  6. Share with relevant parties before shoot day. Send the downloaded PDF to the listing agent and, where applicable, the seller at least 48 hours before the scheduled shoot to allow time for property preparation.

REAL ESTATE AGENT PREP CHECKLIST

Set your shoot up for success

2026 Master Template · U.S. General

FOR THE LISTING AGENT

These are the steps that separate a smooth shoot day from a chaotic one. Run through the list 24–48 hours before the Photographer arrives. Pair it with the Homeowner Prep Checklist (STG-001) for your seller.

Pre-Shoot (T-48 hours)

☐ Send the Homeowner Prep Checklist (STG-001) to the seller. Confirm receipt.

☐ Confirm the Capture Date, time, and access method (lockbox, key, code, meet onsite) with the Photographer.

☐ Confirm property prep timeline — when can the seller be off-site with pets?

☐ Confirm anyone who needs to be on-site (inspector, stager, contractor) is scheduled before or after — not during — the shoot.

☐ Verify HOA / community rules don’t prohibit drone or commercial photography.

☐ Send the seller staging tips for any high-impact spaces (primary suite, kitchen, entry).

☐ Identify the marquee shot or hero feature you most want photographed.

T-24 hours

☐ Re-confirm with the Photographer via the Photographer’s preferred channel.

☐ Confirm weather forecast — flag if outdoor or aerial shots need to reschedule.

☐ Remind the seller to charge any keyless-entry batteries and disable cameras in private areas.

☐ Send any HOA or building access instructions (gate code, garage door, escort requirements).

☐ Send a copy of the signed engagement (REC-001/002/003) and any required releases (REL-001 / REL-002 / REL-003).

Shoot Day

☐ Plan to arrive 15 minutes before the Photographer if you’ll be on-site.

☐ Walk through the property with the Photographer at start: hero shots, exclusions, sensitive items.
