What is the Equipment Rental Agreement?

The Equipment Rental Agreement is a professional contract template for photographers, drone operators, and 3D tour creators who lend cameras, drones, lighting, or 3D tour hardware — such as Matterport or iGUIDE cameras — to other creative professionals. It establishes the rental period, fees, insurance requirements, liability for damage or loss, and return-condition inspection procedures. Both owner and renter details are captured, and the agreement is enforceable under a chosen governing law.

When should you use this form?

Use the Equipment Rental Agreement any time a photographer, drone operator, or reality-capture professional lends gear to another creative for a paid or unpaid engagement. Common scenarios include renting a Matterport Pro3 to a colleague for a listing shoot, lending a cinema drone rig for a weekend production, or hiring out a portable lighting kit to a fellow real estate photographer between personal bookings.

What's included in this template?

  • Parties and scope clause identifying Owner and Renter roles
  • Equipment description fields for cameras, drones, lighting, and 3D tour hardware

  4. Set fees, deposit, and insurance minimums. Enter the daily rental rate, late-return fee amount, security deposit amount, and confirm the $1,000,000 insurance coverage requirement applies to the Renter.

  6. Download and distribute the completed agreement. Download the finished PDF or document file from forms.wgan.info and share it with the Renter for signature prior to transferring possession of the equipment.

What this form covers

Parties and Scope

This Equipment Rental Agreement is entered into between the **Owner** — the photographer, drone operator, or proptech professional renting out gear — and the **Renter** receiving it. The agreement covers cameras, drones, lighting, 3D tour hardware (such as Matterport or iGUIDE cameras), and all included accessories.

Use is limited to professional photography, videography, 3D tour creation, or drone operations. Any use outside this scope requires the Owner's prior written consent.

---

Rental Period and Late-Return Fees

The agreement specifies exact start and end dates, a designated return location, and a hard return time. If the Renter misses the deadline, a **daily late fee** kicks in automatically — no additional notice required. An abandonment clause gives the Owner the right to report the equipment stolen if it isn't returned within a defined number of days past the Return Date.

---

Insurance Requirements

  • Renter must carry **commercial general liability and inland marine (equipment) insurance** - Minimum coverage: **$1,000,000 USD per occurrence** - Owner must be named as an **additional insured** before possession transfers - Renter's policy is primary and non-contributory; all deductibles are Renter's responsibility

Owner may refuse to hand over the equipment if proof of insurance isn't received in time.

---

Damage, Loss, and Security Deposit

The Renter is fully liable for damage, loss, or theft from pickup to confirmed return. The Owner can require repair costs *or* full replacement value — whichever is lower for damage, or full replacement for total loss. A refundable **security deposit** is collected upfront and returned after a documented **return-condition inspection**, less any deductions for damage, missing items, or late fees.

Normal wear and tear is excluded.
