What is the Location Access Release?

The Location Access Release is a 2026 WGAN master template that documents a property controller's permission for a photographer, crew, and equipment to enter a specific location for photography, videography, 3D scanning, or drone operations. It identifies both parties, defines the approved date, time, and duration of access, and sets conditions governing conduct on-site. It is distinct from a Property Release, which addresses rights to use the resulting imagery.

When should you use this form?

The Location Access Release is appropriate any time a photographer or 3D tour creator needs documented, written permission to enter a property before a shoot — including residential listings, commercial spaces, construction sites, and event venues. It is especially relevant when the property controller is a manager or agent rather than the owner, when multiple crew members or equipment rigs will be on-site, or when a separate shoot agreement does not already include an explicit access grant.

How do I fill out this form?

  2. Enter parties and location details. Fill in the Property Controller's name, title, and capacity (owner, manager, or agent), the full property address, and the photographer or crew lead's name and business.
  3. Set access dates, times, and project reference. Enter the scheduled access date(s) and start-to-end times, the estimated shoot duration in hours, and a project name or job ID to link the release to your records.
  4. Complete conditions and excluded areas. Review the pre-populated Conditions of Access, then add any site-specific restrictions, excluded rooms, security requirements, or special conditions in the designated field.
  5. Download the completed PDF. Click the Download or Export button to generate a completed PDF of the Location Access Release, pre-filled with all entered data and ready for review.
  6. Collect signatures from both parties. Share the downloaded PDF with the Property Controller for signature. Retain a countersigned copy for your project file before beginning the shoot.

WHEN TO USE THIS FORM

Use this Release to obtain the property-controller’s permission for Photographer (and Photographer’s crew and equipment) to enter the property to conduct a shoot. This Release is about access — the right to use the resulting imagery is addressed in the Property Release (REL-002) or the underlying photography agreement. Use both when both access and image-use rights are at issue.

2. Grant of Access

Controller grants Photographer, Photographer’s crew, and Photographer’s equipment access to the Location on the date(s) and time(s) listed above for the purposes of conducting photography, videography, 3D scanning, drone operations as detailed in the attached or referenced agreements, and related activities reasonably necessary to complete the shoot.

3. Conditions of Access

  • Photographer’s crew will conduct themselves professionally and minimize disruption.
  • Photographer will return the Location to substantially the condition in which it was found.
  • Photographer will comply with reasonable directions of the Controller regarding restricted areas, security cameras, animals, minors present, and confidential or sensitive items.
