What is the Re Scan Revisit Request?

The Re Scan Revisit Request is a professional agreement template for real estate photographers and 3D-tour providers to document a follow-up property scan as a separate, billable engagement. It links the revisit to an original scan via a Prior Scan Reference ID, categorizes the reason for the return visit, defines the affected scope, sets fees and payment terms, establishes scheduling windows, and specifies which deliverables will be updated.

When should you use this form?

The Re Scan Revisit Request is appropriate whenever a client requests a return visit to a previously scanned property — for example, after staging is updated, a renovation is completed, seasonal exterior changes occur, or construction reaches a milestone. It is also the right form to use when a provider needs to distinguish a paid revisit from a warranty callback and wants written confirmation of scope before rescheduling.

What's included in this template?

  • Prior Scan Reference ID linking the revisit to the original engagement
  • Re-scan reason category: staging update, renovation, seasonal refresh, or construction completion
  • Scope of change description limited to affected areas only
  • Configurable re-scan service fee, non-refundable deposit, and balance due date
  • Late payment clause at 1.5% per month after a configurable grace period
  • Turnaround and delivery windows expressed in business days
  • Lockout fee and cancellation notice threshold to protect appointment time
  • Deliverables clause covering updated 3D tour links, floor plans, and refreshed images

How do I fill out this form?

  1. Open the form at forms.wgan.info. Navigate to forms.wgan.info and locate the Re Scan Revisit Request template. Click the form to open the online fill-in interface in your browser.
  2. Enter the Prior Scan Reference ID. Type the job or project ID from the original scan engagement so the revisit is formally linked to that prior record and treated as a separate billable event.
  3. Select the re-scan reason and describe the scope. Choose the applicable reason category — staging update, renovation, seasonal refresh, or construction completion — then describe in the scope field exactly which areas of the property have changed.
  4. Set fees, deposit, and scheduling windows. Enter the re-scan service fee, non-refundable deposit amount, balance due date, turnaround window in business days, lockout fee, and the cancellation notice threshold.
  5. Review all fields before finalizing. Scroll through the completed form to confirm that all monetary amounts, dates, property details, and deliverable descriptions are accurate before generating the document.
  6. Download and share the completed agreement. Click the download or export button to save the finished Re Scan Revisit Request as a PDF, then send it to the client for review and signature.

What this form covers

Acceptance and Scope

This Re-Scan / Revisit Agreement is entered into between your photography or 3D-capture business and the client requesting the revisit — tied directly to the original engagement via a **Prior Scan Reference ID**. That linkage keeps your project records clean and makes clear that this is a separate, billable engagement, not a warranty callback.

The reason for the re-scan is formally categorized at the top: staging update, post-renovation, seasonal refresh, construction completion, or other. This single field alone saves awkward back-and-forth conversations about what exactly the client is expecting.

Scope of Change Description

Clients describe in their own words exactly what has changed at the property since the original scan. Provider is only obligated to re-scan the **affected areas** — not the entire property — unless a full-property rescan is explicitly agreed upon. This protects you from scope creep the moment you walk through the door.

Re-Scan Fee and Payment

  • Configurable **re-scan service fee** and **non-refundable deposit** to lock the appointment - Remaining balance due on a specified date or upon delivery — whichever comes first - **Late payment clause** kicks in after your chosen grace period at 1.5% per month - Deliverables are withheld until payment is received in full

Scheduling and Turnaround

Set your own **turnaround window** (business days to complete the scan) and **delivery window** (business days to hand off final assets). A configurable **lockout fee** applies if the property isn't accessible or ready at appointment time, and a **cancellation notice** threshold protects your deposit against last-minute cancellations.

Deliverables and IP

Updated 3D tour links, revised floor plans, and refreshed images are delivered under the same license terms as the original engagement. Assets outside the re-scan scope are not re-processed unless a written change order is issued — keeping your workflow predictable and your time billable.
