What is the Mileage Log?

The Mileage Log is an IRS-compliant personal-vehicle mileage tracking template designed for real estate photographers, Matterport and iGUIDE tour operators, drone pilots, and other proptech professionals. It records annual odometer snapshots, individual trip details, and business-purpose codes across every drive made for income-earning activity, producing a complete, audit-ready record that supports the IRS standard mileage rate deduction on Schedule C or a comparable business tax filing.

When should you use this form?

The Mileage Log is the right tool any time a real estate photographer or reality-capture professional drives a personal vehicle to a listing shoot, Matterport or iGUIDE capture session, drone flight site, client meeting, equipment supplier, or training event. It should be opened at the start of each tax year — January 1 — and maintained trip-by-trip so that year-end totals and business-use percentages are already calculated when tax season arrives.

What's included in this template?

  • Photographer and vehicle identification (name, DBA, tax year, make, model, plate)
  • Annual odometer snapshot with start-of-year and end-of-year readings
  • Automatic business-use percentage calculation from total vs. business miles
  • IRS standard mileage rate field with total deductible expense output
  • Individual trip log entries with date, addresses, odometer readings, and miles claimed
  • Nine standardized business-purpose codes (PHO, 3DT, DRN, DEL, CLT, EQP, TRN, OFC, OTH)
  • Governing information and preparer certification section

How do I fill out this form?

  1. Open the form at forms.wgan.info. Navigate to forms.wgan.info and locate the Mileage Log template under the IRS & Tax Records category. Click the form title to open the online editor.
  2. Enter photographer and vehicle information. Type your full legal name as it appears on your tax return, your business or DBA name, the tax year, and your vehicle's make, model, year, and license plate number.
  3. Record annual odometer readings. Enter your vehicle's odometer reading on January 1 and December 31. The form calculates total miles driven and your business-use percentage automatically from these two values.
  4. Log each business trip. For every business drive, fill in the trip date, starting and ending addresses, odometer readings at departure and arrival, miles claimed, and a business-purpose code such as PHO, 3DT, or DRN.
  5. Confirm the IRS rate and review totals. Enter the IRS standard mileage rate for the tax year. The form surfaces your total deductible mileage expense and running business-mile totals across all logged trips.
  6. Certify, download, and save the completed log. Complete the preparer certification section, then download the finished log as a PDF. Save a copy with your tax records for the applicable year.

What this form covers

Photographer & Vehicle Information

Every log starts with the basics the IRS expects to see on audit: your full legal name as it appears on your tax return, your business or DBA name, the tax year, and complete vehicle identification — make, model, year, and license plate.

---

Odometer Readings — Annual Snapshot

Before you log a single trip, record your vehicle's odometer on January 1 and December 31. Those two numbers establish total miles driven for the year and power the business-use percentage calculation — the figure that tells the IRS exactly how much of your vehicle was dedicated to earning income.

  • **Odometer — Start of Year** - **Odometer — End of Year** - **Total Miles (All Purposes)** - **Total Business Miles Claimed** - **Business-Use Percentage**

---

IRS Standard Mileage Rate Applied

Enter the IRS standard mileage rate for the tax year and the form automatically surfaces your total deductible mileage expense. If you're using the actual-expense method instead, note that here and work with your tax professional on the supporting documentation.

---

Individual Trip Log Entries

This is the heart of the form. For every business drive — whether you're heading to a listing shoot, a Matterport capture, a drone flight, a client consultation, or an equipment pickup — record:

  • **Trip Date** - **Starting Location / Address** - **Ending Location / Address** - **Business Purpose** (free text or standardized code) - **Odometer at Departure & Arrival** - **Miles Claimed for This Trip**

---

Business Purpose Codes

Nine standardized codes keep your log consistent and audit-ready: `PHO` for photo shoots, `3DT` for Matterport/iGUIDE tours, `DRN` for drone flights, `DEL` for media delivery, `CLT` for client meetings, `EQP` for equipment runs, `TRN` for training, `OFC` for office travel, and `OTH` for anything else.
